Common Selection Parameters for Tax Forms

Currency If multiple currencies exist, this will allow for the selection the currency type.
Create IRS File If checked, it will attempt to create the file used by the IRS to process your forms. By using this, you will not need to send paper forms to the IRS. Some of the subsequent parameters must be filled in to use this option.
File Location For irstax Must be a valid location. This is only needed if Create IRS File is checked. The filename created is always irstax, so you need only select the location for the file.
Transmitter Control Code This is for the TCC required when creating the irstax file. This is only needed if Create IRS File is checked.
Contact Name This is for the irstax file. This is only needed if Create IRS File is checked.
Contact Phone This is for the irstax file. This is only needed if Create IRS File is checked.
Contact Email This is for the irstax file. This is only needed if Create IRS File is checked.
Tax Year This determines which statistics or transactions to use to calculate the amounts reported on the forms.
Minimum Amount This is the minimum amount to report. For example, you don’t need to report information for borrowers with less than $600.00 of interest paid for forms 1098. You may wish to create a form to send to each of your borrowers regardless of amount, so you can change this threshold to zero or one cent to accomplish that. You may also want to adjust this limit for testing purposes. For example, you may change it to $10,000.00 so fewer forms print during testing. A small test run may be useful for checking on forms alignment or checking the creation of the irstax file to insure the file location is a valid, writable location.
Company Name Control This is for the irstax file. This is only needed if Create IRS File is checked. Enter the four character name you wish to use for your company for the irstax file. See Publication 1220 for information on how to determine an appropriate value for this Company Name Control field.
Company Name 1 This is the first name line of your company to be used on the forms and in the irstax file.
Company Name 2 This is the second name line of your company to be used on the forms and in the irstax file.
Company Address This is the street address of your company to be used on the forms and in the irstax file.
Company City This is the city of your company to be used on the forms and in the irstax file.
Company State This is the state of your company to be used on the forms and in the irstax file.
Company ZIP This is the ZIP Code of your company to be used on the forms and in the irstax file.
Company Tax ID This is the EIN or SSN of your company to be used on the forms and in the irstax file.
Use Address 1 Ensures the usage of the first address line.

Since only one address line is allowed by the IRS, you must choose which one you want to use. If the first one is sufficient, check Use Address 1 and leave Use Address 2 unchecked. If you need to use both, having both checked will attempt to combine the two lines into a single address line. Note that the IRS tax file only allows for 40 spaces for the address, so if the combined address exceeds this limit, it will get truncated.

Use Address 2 Ensures the usage of the second address line.

Since only one address line is allowed by the IRS, you must choose which one you want to use. If the first one is sufficient, check Use Address 1 and leave Use Address 2 unchecked. If you need to use both, having both checked will attempt to combine the two lines into a single address line. Use First Name This is used to replace Company Name with Name 1 for organizations. If your forms are all for individuals or couples, this checkbox will have no effect.
Use Second Name This is used to include the Name 2 for couples. If your forms are all for organizations or individuals, this checkbox will have no effect.

If all your forms are for individuals, neither of the above checkboxes will have any effect.

Truncate TINs This checkbox is checked to indicate that only the last four digits of the tax id will show. All other digits will be masked with Xs in this case. For example: XXX-XX-1234.
Preprinted Forms This checkbox is used to determine whether you are printing on pre-printed forms or blank paper. If you uncheck this to print on blank paper, the boxes, lines, labels, and other items will be printed on the blank paper for you. If this box is checked, then only the variable information will be printed since it is assumed that you have loaded special tax forms into the printer.
Print Copy A This checkbox will be used to determine whether to print Copy A of the tax form.
Print Copy B This checkbox will be used to determine whether to print Copy B of the tax form.
Print Copy C This checkbox will be used to determine whether to print Copy C of the tax form.
